Overview

Reporting to the HR Team and Director of Fiscal Operations, the Graduate Student is charged with coordination of the HR office, materials, and events. The coordinator serves as a procurement office for the HR team and performs an array of administrative duties within event planning, marketing, calendar management, and staff lounge oversight. The coordinator will also support the Business Affairs team to organize and process various transactions.

Required Duties

  • Triage HR inquiries, evaluate and route to appropriate team members; ensure prompt addressing of all issues raised.
  • Keep track of the HR departmental event calendar and manager HR Team calendars/internal meetings.
  • Serve as the procurement officer for Human Resources, ordering office and event materials.
  • Assist with creating and promoting a monthly HR newsletter and interactive HR forms and surveys.
  • Respond to all life-event acknowledgements (e.g., bereavement, illness, retirement, new children, etc.) 
  • Oversee the Staff Lounge. Ensure an inviting atmosphere.
    • Maintain coffee service daily; order and oversee supplies.
    • Manage suggestion box.
    • Manage the Staff Lounge communication board, ensuring engaging and informative content and timely dissemination of event and other programming information.
  • Support the HR Manager in hosting HR events and programs that educate and engage Penn Carey Law staff members in their work.
    • Assisting with catering, invites, marketing, and setting up for each event.

Preferred Qualification and Essential Skills

Experience & Skills:

  • Prior administrative or office support experience strongly preferred.
  • Experience in event planning, marketing, or communications is a plus.
  • Familiarity with procurement processes or inventory tracking is an asset.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Comfortable using or learning Google Workspace, survey tools (e.g., Qualtrics, Google Forms), and basic design tools (e.g., Canva or Adobe Express) for newsletters and flyers.
  • Experience using calendar management tools (e.g., Outlook, Google Calendar).

Communication & Organizational Skills:

  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks with attention to detail and accuracy.
  • Discretion when handling sensitive or confidential information.
  • Enthusiasm for contributing to a positive workplace culture.
